EVENT REGISTRATION AND REFUND CONDITIONS

Read before filling out the registration form for the proposed initiatives.

To participate in the activities organized by OVER2000RIDERS it is necessary to be regularly registered with the Association.

The Contract is intended to be governed not only by these general conditions, but also by the clauses present in the Association Registration Form and in the Activity Registration Form as well as by the information present in the Description of the latter.

Acceptance of the registration application is subject to the availability of places and is considered finalized only upon confirmation by the organization and exclusively after receiving payment of the fee. In the event of non-payment or delayed payment, registration will be considered pending and participation in the event cannot be guaranteed.

If before departure the organization is forced to significantly change an essential element of the contract, including the price, the Member will be promptly notified. A variation of more than 15% of the same is considered significant. In this case, the Member will have the right to withdraw from the contract without paying any amount, or will be able to accept this change.

If the organization is unable to provide an essential part of what is included in the program during the event, it will have to find alternative solutions without price supplements for the Member.

In the event of postponement, postponement, cancellation or delay of the event, the organizer will immediately inform participants via all communication channels available to him.

The participant who is not able to register for the new date of the event, due to the change in program, will have a maximum of eight (8) days from receipt of the information to request a refund of the registration fee paid to the ‘Organization.

In the event of cancellation of the event for reasons beyond the control of the Organisation, the registration fees will be refunded to the participants with the exclusion of the cost of the OVER2000RIDERS card + fixed charges equal to 100 EUR in total (therefore refunded fee = registration fee minus 100 EUR). The cost of the refund transfer will be borne by the beneficiaries.

Refunds will be made no later than 3 (three) months from the date of receipt of the request.

The paying participant will not be entitled to any refund in the event of:

  • cancellation of the registration application by the participant;
  • in case of impossibility to participate in the event due to viruses such as COVID-19.
  • absence for health reasons or injury.

In case of absence for health reasons or injury, the participant must provide the organizer with hospital documentation issued by a public or private healthcare facility within 30 days of the event date. The organizer, after having examined the documentation, reserves the right to accept or deny the refund request, even in the case of documentation deemed inadequate.

In case of acceptance of this request:

  • in the event of a refund request received within 120 days from the date of the event, the Organization will refund 90% (ninety percent) of the sum received from the participant as registration fees, after a 10% deduction for administrative expenses ;
  • in the event of a refund request received after 120 days and no later than 60 days from the date of the event, the Organization will refund 30% of the fee paid by the participant;
  • in the event of a refund request received after 60 days from the date of the event, the Organization will not proceed with any refund, as the expenses for organizing the event will have already been incurred.

Refunds, if accepted under the terms and conditions set out above, will be made no later than 3 (three) months after the end of the event.

The Member is responsible for ensuring that their vehicle, with which they will participate in the event, is in a good state of maintenance, in order to avoid foreseeable breakdowns before departure. The vehicles must be fitted with tires in excellent condition and suitable for off-road driving and on dirt roads in general. The Member must also comply with the rules of normal prudence and diligence and with all the information provided by the organization. However, each participating Member remains solely responsible for his/her actions, both with regards to off-road driving and in any other circumstances. No responsibility can be attributed to the Association or to other members participating or not in the activities. The Member releases the organization from any responsibility for any damage to people and/or things caused by driving his own vehicle used during the event.

The organization is liable for damages caused to Members due to failure to perform the services agreed upon for carrying out the activity unless such failures arise from causes due to the Member’s behavior or from fortuitous circumstances, force majeure, or from circumstances which the organization could not reasonably foresee or resolve. In the event of the Member’s vehicle breaking, the organization is not required to provide any refund or provide replacement vehicles or anything else, unless otherwise agreed. The organization is not responsible for route changes due to unforeseen causes such as: impracticability of roads or introduction of transit bans or other. The organization is required to provide assistance measures to the Member according to the criteria of diligence and only and exclusively for what is contained in the Contract.
